Introduction

The fee recovery and refund policy provides clarity on GCC Scholarships' position regarding fee recovery, the measures taken to recover fees, and the limited circumstances in which refunds of fees will be considered.

By enrolling, you agree to the following:

  • Adhere to the Student Code of Conduct.
  • Provide necessary information for registration and fees.
  • Pay your fees in full (as per the fee payment plan) and on time.
  • Complete all parts of your coursework.
  • Take responsibility for submitting assessments for your course by the agreed date with your tutor.

Our agreement is directly with you, not any third party. You must inform us if you have previously been excluded from GCC Scholarships. If your exclusion was for misconduct and you fail to disclose this or provide misleading information, GCC Scholarships reserves the right to cancel your enrollment.

Any criminal convictions must be disclosed to GCC Scholarships. All disclosed information is treated confidentially and reviewed on a case-by-case basis. GCC Scholarships reserves the right to amend or withdraw enrollment offers based on safeguarding matters. Full explanations regarding such decisions will be provided.

The information in this handbook is correct at the time of printing. Any changes will be communicated during enrollment.

Course fees will be displayed fully; however, GCC Scholarships reserves the right to change fees without prior notice in exceptional circumstances and to correct errors.

Scope

The fee recovery and refund policy applies to all fees.

Aims of the Policy
  • To enable staff and students to understand the limited circumstances for fee refunds or cancellations.
  • To ensure consistent application of fee recovery and refund policies across GCC Scholarships.
  • To provide clarity on the calculation of any refunds due.
  • To provide clarity on GCC Scholarships' policy on fee recovery.
Cancellation - Online Enrollments

For online enrollments, the distance selling regulations apply. GCC Scholarships complies with the Consumer Contracts (Information, Cancellation, and Additional Charges) Regulations 2013. A full refund of any fees paid will be provided if a cancellation is received within fourteen days of initial enrollment and before the course starts. If the course starts within the fourteen-day cancellation period, the refund will be adjusted to reflect the proportion of the course delivered at the point of cancellation. After the fourteen-day period, the standard refund and fee recovery policies apply. Note that no refund will be provided for monthly, quarterly, or any other installment-based fee payment plans.

Refunds

Withdrawal:
  • Students withdrawing before the course start date are entitled to a full refund, less a 10% administration fee.
  • Students withdrawing within the first two weeks of the course start date are entitled to a 50% refund (except for short courses). Where fees paid are less than 50% of the course fee, the balance remains payable.
  • Students withdrawing after two weeks from the start date are not entitled to any refund, and any outstanding fees remain payable.
  • Students withdrawing from a short course (9 months or less) are not entitled to any refund.
  • All withdrawals must be notified in writing to Student Services. The effective date for refund calculation is the date of receipt by GCC Scholarships.
  • Normally, fees cannot be transferred to another course part-way through.
Cancellation - Online Enrollments

Course Cancellation:

If GCC Scholarships cancels a course or it does not start due to a lack of support, an alternative will be offered. If no suitable alternative is available, a full refund will be provided.

Course Rescheduling:

If GCC Scholarships reschedules a course to a different time or day that is inconvenient for the student, a full refund will be provided.

Illness:

If a student becomes ill during a course and the condition is permanent, they may apply for a refund. If temporary, they may apply for a credit to re-enroll later (credits are valid for 2 years). Refunds or credits are calculated on a pro-rata basis from the last class attended, with medical evidence required. Credits cannot be converted to refunds.

Other Circumstances:

GCC Scholarships cannot make refunds for absences due to work commitments, personal or financial circumstances, or other reasons. Any outstanding fees remain payable. No refund is provided if a student is withdrawn for failure to adhere to GCC Scholarships' policies (e.g., attendance, behavior, health and safety).

Quality Issues:

If a student is dissatisfied with the course, they should follow the College Complaints Procedure. If the issue cannot be resolved, a refund may be issued at GCC Scholarships' discretion.

Overseas Students:
  • Visa refusal: Fees will be refunded, less a £250 administration fee, upon receipt of original copies of enrollment letters and visa refusal documentation.
  • No refund if a student enters the UK on a visa obtained with GCC Scholarships' acceptance letters and later decides to leave.
  • No refund after an extension of a student visa facilitated by GCC Scholarships.
Recovery of Fees

Fee recovery is essential for GCC Scholarships' viability. Reasonable measures will be taken to recover outstanding fees. In the event of non-payment within agreed timescales, a written reminder will be sent. Students facing financial difficulty should contact the Finance Team and Advice Centre.

GCC Scholarships may use debt recovery specialists and include reasonable recovery costs as part of the debt. Recovery procedures through civil courts may be undertaken if necessary.

Data Protection

GCC Scholarships keeps personal information secure and abides by the Data Protection Act. Personal information is not shared unless required by law or essential for course management, such as dealing with fees or exam entries. GCC Scholarships does not sell or pass on student details to commercial companies or organizations
